The Klaviyo back in stock flow for Shopify stores that sell out
If you sell coral, limited outdoor gear or specialty pet stock, restocks are your most profitable email moment of the month — and most stores waste them on a single generic alert. Here's the three-email flow I build for niche Australian Shopify brands.
Why this flow beats everything else
Every other flow guesses at intent. Back in stock doesn't. The subscriber selected a specific variant, handed over their email for that one item, and is actively waiting. On limited-stock niche products I regularly see conversion rates several times higher than a welcome series, from a fraction of the volume.
The catch is that it's also the flow most likely to be left on Klaviyo's default settings — one email, delayed by quiet hours, sent to everyone whether the item restocked with two units or two hundred.
Setting up the trigger in Klaviyo
- Enable back-in-stock in Klaviyo and add the sign-up button to your Shopify product template, including on sold-out variants — not just sold-out products.
- Create a flow triggered by the Back in Stock metric so it fires when inventory crosses above zero.
- Add a flow filter excluding anyone who has placed an order containing that item since subscribing, so buyers stop receiving reminders.
- Set smart sending off for the first email on scarce items, and use a conditional split on inventory quantity to decide whether the urgency track runs.
- Turn on the flow in live mode and check the first restock manually before trusting it.
The three-email structure
Email 1 — Immediate alert (0 minutes)
Subject line names the product, not your brand. One product image, price, a single button, and the quantity available if it's genuinely limited. No newsletter content, no cross-sells above the fold. This email exists to get one click.
Email 2 — Reminder (6 hours)
Only to subscribers who opened or received but didn't purchase. Reframe rather than repeat: why this item sells out, what it pairs with, or a short care/fit note. For enthusiast niches, a one-line expert tip earns more clicks than a discount.
Email 3 — Last chance (24 hours)
Send only when stock is still low. Use real inventory conditions — Klaviyo can check the variant's current quantity at send time — so the urgency is true. If the item restocked deeply, skip this email entirely.
Niche angles that lift conversion
- Reef & aquarium: name the exact species or morph, state the arrival batch date, and add a one-line acclimation note. Buyers hesitate on livestock — remove the hesitation in the email, not on the product page.
- Outdoor, camping & 4WD: restocks are usually size, fitment or vehicle-specific. Reference the variant they subscribed to so a tourer isn't reading about a different rack system.
- Specialty pets & animals: link the restock to feeding, breeding or seasonal cycles. 'Back for the winter breeding run' converts better than 'back in stock'.
- Any niche: if the item ships from a single AU warehouse, say the cut-off time for same-day dispatch. Freight certainty closes enthusiast buyers.
Australian timing notes
Set your Klaviyo account timezone to your primary market — usually AEST/AEDT — and remember your list spans three to four time zones. For scarce stock, send immediately regardless of hour: a Perth subscriber waking to a sold-out alert is worse than an evening email. For deep restocks, a 9am to 8pm AEST window is plenty.
Watch public-holiday freight gaps too. If dispatch pauses for four days, say so in the email rather than letting the customer discover it at checkout.
Mistakes I see most often
- One email only — leaving roughly half the recoverable revenue on the table.
- Quiet hours delaying alerts on items that sell out in under two hours.
- Faking scarcity on deeply stocked products, which teaches the list to ignore you.
- No sign-up button on out-of-stock variants, so the list never grows.
- Never suppressing subscribers who've ignored five alerts for the same item.
FAQ
How do I set up a back in stock flow in Klaviyo?
Add Klaviyo's back-in-stock sign-up button to your Shopify product template so out-of-stock variants collect subscribers, then build a flow triggered by the 'Back in Stock' metric. Klaviyo sends the alert when the variant's inventory crosses back above zero, so your only real work is the email sequence, the send window and the variant-level filters.
How many emails should a back in stock flow have?
Three is the sweet spot for most niche stores: an immediate alert, a reminder about six hours later to anyone who hasn't purchased, and a final low-stock nudge at 24 hours. Anything longer starts to feel like pressure on a list that already told you exactly what it wants.
Should back in stock emails send at night?
For scarce or limited stock, yes — send immediately, no quiet hours. Subscribers opted in for a specific item and a delay just means someone else buys it. For deep, evergreen stock you can respect a smart send-time window without losing much.
Why does back in stock convert so well?
It's the highest-intent trigger in your account. The subscriber named the exact product, gave you their email for that one reason, and is waiting. Conversion rates in the 15-30% range are common on limited-stock niche items, far above any campaign.
Can I use back in stock for livestock or perishable products?
Yes, and it's where it works best. Reef stores restocking coral, aquaculture or specific livestock, and pet stores with seasonal feeder or breeder stock, get sell-outs within hours. Add the arrival date and any care or collection detail directly in the first email so buyers can act with confidence.
Does back in stock hurt deliverability?
No — it usually helps. These are transactional-feeling, highly engaged sends with strong open and click rates, which lifts your overall engagement signals. Just suppress profiles that have ignored several restock alerts for the same item.
